To optimize end to end process of vehicle procurement, vehicle maintenance, vehicle asset management and fleet services by reducing the cost of ownership, enchasing the processes and reducing overall turn around time in each function, while managing the asset that results maximum utilization of the vehicles.

Key Role Specific Accountabilities

Fleet Services

  • Manage to maintain records and registration renewals at less than 0.2% of the total fleet.
  • Manage PRO team and maintain the traffic files open at all times.
  • Improve the vehicle registration and renewals turnaround time.
  • Maintain enhanced records of the fleet documents and provide analysis and reports on the status of the fleet.
  • Set up and provide policies & governance rules for fleet services, Experience Feedback, Objectives and KPI monitoring, related to operational performance.
  • Monitor compliance and performance with Group policies procedures & methods.
  • Carry out technical and operational activities for fleet management of the Organization’s vehicles (Documentation, legalizations, insurance, claims, maintenance, IPOs, taxes, administrative infractions, fuel, contract management and cost control.
  • Monitor and ensure fleet operation in compliance with local and state rules and regulations; coordinate with DED, Dubai Police, RTA and other government authorities in various questions related to business objectives

Fleet Maintenance

  • Plan a budget for daily/monthly operations, expenditures and analyse all financial objectives; finding ways to cut costs and maximize profits.
  • Oversee activities with regards to the repair and preventive maintenance and replacement of fleet to meet company’s logistics needs
  • Oversea activities with regards to preventive maintenance and scheduled maintenance to improve the utilization of the vehicles
  • Review, negotiate and manage agreements between Herz and maintenance suppliers.
  • Oversee and continuously improve processes and procedure in repair and maintenance activities.
  • Improve reporting structure and suggest management teams on potential cost saving approached

Vehicle Disposals Coordination

  • Coordinate with the Vehicle disposals team to ensure timely disposal of Sale Stock in DXB
  • Arrange the timely exchange and transfer of buyback Units
  • Proper reconciliation of physical vehicle inventory for disposals stock.
  • Preparation of vehicles for daily/weekly Dubai vehicle auction list

Asset Management

  • Support in the preparation and monitoring of the Annual Purchasing Plan.
  • Carry out Market Consultations for the acquisition/contracting processes of new vehicles and/or improvement of the supply conditions of those already purchased, with special focus on the processes of acquisition of vehicles.
  • Provide comprehensive reporting on the stocks, cost of ownerships, utilizations and RVs and WDV.

Customer Challenges escalation and Management

  • Ensure all policies and procedures related to customer query handling and complaint resolutions are strictly adhered to to ensure the highest customer satisfaction.
  • Where required, customer challenges are escalated to the manager as per the process agreed.
  • Corrective actions to be taken to avoid similar complaints /feedbacks either by associate feedback or change of procedure.
  • Ensuring that complaints/queries from direct reports are dealt in line with HR policies and situations requiring HRBP intervention are highlighted and followed up in a timely manner.
  • Serve as the primary point of contact when there are customer issues related to quality assurance or customer service.

Indirect Manpower Cost Control & Management

  • Ensure proper staffing to meet the requirement of various departmental requirements, without the need for any overtime.
  • Ensure proper review mechanism for approving, authorizing, and paying any overtime.
  • Ensure proactive recruitment of any vacancies to minimize the need for any outsource manpower.
  • Recruit, train, assign, schedule, and coach direct reports and handle disciplinary issues.
  • Review and optimize the cost of all the external activities and implement strategies to reduce the costs associated to those.
  • Explore opportunities to reduce the cost of manpower (drivers) by comprehensive route planning and resource planning.

Performance Management

  • Ensure that monthly/quarterly/semi-annual/annual reviews are conducted as per schedule with proper feedback and action plan to address any gaps.
  • Ensure they understand what is expected from them at work to meet the overall department targets.
  • Empower direct reports to come up with innovative solutions to existing business challenges.
  • Establish personal development plans for the year.
  • Ensure monthly performance reviews are captured in I Grow.



Bachelor’s degree in Supply chain Management, Business Administration or Logistics

Minimum Experience and Knowledge:

  • 5+ years of managerial experience within a Fleet management and / or Leasing Company
  • Over 5 years’ experience working in the automotive industry or relevant. Expertise and insight in the UAE Auto Finance Market, UAE leasing and transport industry preferred

Job-Specific/Technical Skills required to complete the tasks:

  • Strong interpersonal, negotiation and leadership skills with sound power generation domain knowledge and a good understanding of project finance principles applicable to power generation industry.
